We understand that sometimes it's not possible to plan a big adventure too far in advance, so we'll always do our best to accommodate late reservation requests. Late reservations occur when a tour is booked on or after the Tour Finalization Date has already passed.
What’s a Tour Finalization Date?
That’s when we have everything confirmed on our end—it’s an important deadline to remember as you’re getting ready to go! If you're not enrolled in AutoPay, it's when your final payment is due. The Tour Finalization Date for most tours is 70 days before departure, but it’s 90 days for Special Event Tours, Customized Tours, Land & Cruise Tours, and tours that include rides on the Rocky Mountaineer train.
At this point, we've already confirmed the final number of travelers with our hotel partners and suppliers, so we need to request additional space with each hotel and certain suppliers we use for tour activities. Because of this, the process for being confirmed as a late addition takes longer than if booking further out.
Late reservations can also come with additional costs. We see this the most with flights. If we can approve your spot on tour, but only at an added expense, we'll review the details with you and give you option to move forward with your booking or cancel and receive a refund.
Late reservation requirements
Customers must meet two requirements before we can begin working on your late reservation.

Partial or full tour payment
- If your tour departs in under one month, your trip must be paid for in full at the time of your booking request. If we're unable to confirm your spot on tour, you'll be fully refunded.
- If the Tour Finalization Date has passed, but it's still over a month before the departure date, you'll only need to pay your tour's deposit of $300 or $450 per person while we work on confirming your spot.
- Sometimes for reservations made shortly after the Tour Finalization Date we can confirm additional spots right away, because we haven't sent final details to our hotels and suppliers yet. If we're able to confirm your late reservation at the time of booking, we'll require your tour's full payment.

- We need your full passport details so our flights team can look into options for you.
While we do confirm most late reservations, it's always possible the hotels could be fully booked, meaning we can't confirm your spot on your requested tour and date. In this case, you'll be eligible for a full refund or we can look into confirming you on a different date or tour.
